Alumni Gmail Transfer Instructions

There are a number of ways you can transfer your existing WFU student emails to your new WFU Alumni Gmail account. Below are step-by-step instructions for the most popular methods.

POP Email Transfer
IMAP via GMVAult
IMAP via Thunderbird
BackUp Gmail for Mac

POP Email Transfer

This method could take several hours.  If you close or shut down your computer the transfer from the WFU Student Gmail server to the WFU Alumni Gmail server will not be interrupted.

Student Gmail Setup

  • Click on the gear icon in the upper right-hand corner of your WFU Student Google Mail  screen and select  “Settings”
  • Then click on the “Forwarding and POP/IMAP” tab
  • Find the section that says: POP Download and make sure that the box beside “Enable POP for all mail” is checked
  • Click Save Changes

Alumni Gmail Setup

  • Click on the gear icon in the upper right-hand corner of your WFU Alumni Google Mail  screen and select  “Settings”
  • Then click on “Accounts” tab
  • Find the section that says: Check mail from other accounts (using POP3) and click “Add a POP3 mail account you own”
    • Input your WFU student email address, then click Next Step
    • In the username field, input your full WFU student email address
    • In the password field, input your WFU student email password
    • For POP Server select “smtp.gmail.com”
    • Port is 995
    • Check “Always use a secure connection (SSL)”
    • DO NOT CHECK “Leave a copy of retrieved message on the server”
    • You may want to check the boxes to automatically label these messages and use the archive feature to make them skip your Inbox.

  • Click “Add Account”
  • Email retrieval will begin momentarily.

IMAP via GMVault

GMVault only works on PC, it is not compatible with Mac.  This method will take several hours to download all your WFU Student Gmail locally to your computer and then many more hours to upload the Gmail data to your WFU Alumni Gmail account.  If you close or shut down  your computer, then transfer from the WFU Student Gmail server to the WFU Alumni Gmail server will be interrupted.

Student Gmail Setup

  • Click on the gear icon in the upper right-hand corner of your WFU Student Gmail screen and select  “Settings”
  • Then click on the “Forwarding and POP/IMAP” tab
  • Find the section that says: IMAP Access and make sure that the button beside Enable IMAP is selected

  • Click Save Changes
  • Find the section that says: Labels and make sure that all your labels (including the ones at the bottom of the page) are marked as “Show in IMAP”
  • Any labels that are not marked “Show in IMAP” will not be backed up

GMVault Installation & Setup – PC Only

  • Download WFUGmailBackup.exe and save the file to your computer.
  • Double-click on GmailBackup.exe to automatically extract the files to your computer.
  • Click Unzip to extract the necessary files to your computer.

  • Click OK and Close to exit WinZip.
  • Navigate to the newly created folder on your hard drive: C:\WFUGmailBackup
  • Double-click on the file named “1-Install-GMVault.vbs”

  • Follow the set up prompts to install the program.  On the last installation message, uncheck Create Desktop Shortcut.  Click Finish.

Email Download

  • Browse to the C:\WFUGmailBackup folder.
  • Double-click on the file named “2-Backup-Restore-Gmail.cmd”

  • Type B and then press Enter.
  • Type your WFU Student Username and press Enter.
  • Type your WFU Student Password and press Enter.
  • Wait for the program to finish downloading all of the messages in your student account.  Remember, this could take several hours.  If you close or shut down  your computer, the download will be interrupted.

Email Transfer

  • Browse to the C:\WFUGmailBackup folder.
  • Double-click on the file named “2-Backup-Restore-Gmail.cmd”
  • Type R and then press Enter.
  • Type your WFU Alumni Username and press Enter.
  • Type your WFU Alumni Password and press Enter.
  • Wait for the program to finish uploading all of the messages to your alumni account. Remember, this could take several hours.  If you close or shut down  your computer, the download will be interrupted.

IMAP via Thunderbird

This method will take several hours to download all your WFU Student Gmail locally to your computer and then many more hours to upload the Gmail data to your WFU Alumni Gmail account.  If you close or shut down  your computer, then transfer from the WFU Student Gmail server to the WFU Alumni Gmail server will be interrupted.

  • Click on the gear icon in the upper right-hand corner of your WFU Student Gmail screen and select  “Settings”
  • Then click on the “Forwarding and POP/IMAP” tab
  • Find the section that says: IMAP Access and make sure that the button beside Enable IMAP is selected

  • Repeat the process above

Open Thunderbird

  • Click on “Tools” and select “Account Settings”
  • Click on “Account Actions” and select “Add Mail Account”
  • When the following window appears, put in your name, your email address and the password for your WFU Student Google Mail account and click Continue

  • Thunderbird will attempt to configure your account, after it is does, edit the settings to match these:
    • Incoming IMAP should be imap.googlemail.com port 993
    • Outgoing SMTP should be smtp.googlemail.com, port 465
  • Click “Re-test”

  • After retesting your configuration, click on “Done” and your WFU Student Gmail account should appear on the left side of the Thunderbird screen. To view your emails for the first time, you will have to log-in to the account by double clicking the name of the account
  • After adding your student account, go back to ”Tools” and select “Account Settings”
  • Click on “Account Actions” and select “Add Mail Account”
  • When the following window appears, put in your name, your email address and the password for your WFU Student Google Mail account and click “Continue”

Gmail Thunderbird Alumni Add Account

  • Thunderbird will attempt to configure your account, after it is does, edit the settings to match these:
    • Incoming IMAP should be imap.googlemail.com port 993
    • Outgoing SMTP should be smtp.googlemail.com, port 465
  • Click “Re-test”

  • After retesting your configuration, click on “Done” and your WFU Alumni Gmail account should appear on the left side of the Thunderbird screen
  • Double click the name of the account () to connect

Message Transfer

You should now see both of your email accounts on the left side of the Thunderbird screen.  To move all of your emails from your WFU Student Gmail account to your WFU Alumni Gmail account follow the steps below.

  • First Step – Re-Creation of Labels and Labeled Message Transfer
    • Individually drag each folder under your WFU Student Gmail account that correspond to the labels you created in Gmail (Do not select anything under the Gmail section such as Drafts, Sent Mail, etc. for now) onto the name of your WFU Alumni Gmail account and drop them
  • Second Step – Unlabeled Message Transfer
    • Individually go through the folders in the Gmail section of your WFU Student account, starting with Drafts
    • Click the folder, hit Ctrl-A (PC) or Command-A (Mac) to select all the messages in that folder
    • Drag the selected messages to the corresponding folder in the Gmail section of your WFU Alumni account
  • Third Step – Inbox Transfer
    • Click the Inbox folder for your WFU Student Gmail account
    • Hit Ctrl-A (PC) or Command-A (Mac) to select all the messages in that folder
    • Right click in the highlighted block in your Inbox, navigate to “Copy To” then hover over the name of your WFU Alumni account, and then select the Inbox.

If you only want to move specific messages from your WFU Student Gmail account to your WFU Alumni Account, use Thunderbird’s search feature to find each particular message and drag it from your WFU Student Mail account to the appropriate place in your WFU Alumni Gmail account.


BackUp Gmail for Mac

For students with a Mac computer, we recommend purchasing BackUp Gmail from the App Store.  It isa lightweight Status Bar App that works in background, connects automatically with your accounts, and backs up any new message.  More information can be found on the developer’s website:  http://backupgmail.m4ss.net/
